How we implement AI and automation in your company
A project with Claria moves through phases that are approved one at a time: first we understand your operation, then we put a number on it, and only then do we build — connected to the systems you already use and with controls defined from day one.
The phases of a project
Each phase has a concrete deliverable, and we only move to the next one if the previous phase shows the expected value. In large operations, the build starts with a pilot in one department or business unit.
01 · Discovery
A map of your operation with times, costs and prioritized bottlenecks. It takes 2 to 4 weeks, depending on the size of the operation.
02 · Business case
Projected return per initiative, with every assumption visible and the payback period. If the numbers don’t add up, we tell you and there’s no project.
03 · Phased delivery
Deliveries you can review every two weeks. The first piece is usually in production within 4 to 8 weeks.
04 · Operation and support
Documentation, team training and monitoring for the first 90 days. After that, monthly support on demand.
Integration with the systems you already use
You don’t need to replace your ERP, your CRM or your channels to get started. The solution connects to them and data flows without anyone copying and pasting between windows.
APIs and webhooks
Connections to ERPs, CRMs, messaging, email, e-commerce, databases and spreadsheets.
Custom middleware
When there’s no standard connector, we build the bridge between systems.
Systems without an API
Files, webhooks, UI automation or intermediate middleware, depending on the case.
Monitoring and alerts
Every sync is logged and raises an alert if something fails, so nothing breaks silently.
Human oversight and controls
Before we write a line of code, we define with you what the AI can do on its own, what requires approval and who is accountable for each action.
Human approval
Sensitive or out-of-policy cases escalate to the right person, with the context already summarized.
Guardrails
Rules, validations and action limits so the system never acts outside what was agreed.
Least-privilege access
Each connection uses only the access it needs, authenticated and encrypted.
Traceability
A log of every action taken, available for auditing and correction.
What we deliver
The solution is yours: no lock-in, no per-seat licenses and no black box.
A solution in production
Running on your real operation, not in a demo environment.
Code in your name
The code and automations live on your infrastructure and in your name.
Documentation
How it works, what it connects, which rules it follows and how to maintain it.
Training
Your team knows how to run the solution and what to do when a case escalates.
How we measure results
Before we build, we set a baseline with your data — hours per task, response times, errors and process cost — and then measure the same things with the solution in production, on a dashboard you can verify in your own operation. For reference, across 24 implementations our clients recovered an average of 42% of the operating time of the automated processes during the first 90 days.
Depending on the complexity of your operation
The method doesn’t change; the starting point, the scope of integrations, the controls and the rollout pace do.
| Small businesses | Mid-sized companies | Large enterprises | |
|---|---|---|---|
| Starting point | One priority process | A cross-department process map | A pilot in one department or business unit |
| Typical integrations | Service channels and invoicing or ERP | ERP, CRM, channels and databases | Systems across several business units, locations or countries |
| Controls | Rules for handing off to a person | Human approval and logging by department | Permissions, approvals and traceability documented for audit |
| Rollout | A single phase, with the first delivery within weeks | Several phases prioritized by return | In phases, with handover to the internal team |
What gets defined in the contracted scope
Some conditions depend on each project, and we agree on them in writing before we start:
- Support levels and response times after the first 90 days.
- The infrastructure the solution runs on, and who manages it.
- On-site visits, depending on the country and the project stage.
- The language of documentation and working sessions (English or Spanish).
Questions about implementation.
How long does an implementation project take?
Discovery takes 2 to 4 weeks depending on the size of the operation, and the first piece is usually in production within 4 to 8 weeks, with deliveries every two weeks. Total duration depends on how many phases get approved.
Can we start with a pilot?
Yes, and in large operations that’s what we recommend: one department or business unit, with a measured baseline, before rolling the solution out to the rest of the organization.
Do we need a technical team to maintain the solution?
No. We document everything, train your team and monitor the first 90 days. After that we offer monthly support on demand; if you have an internal IT team, we hand the solution over to them.
What if one of our systems doesn’t have an API?
We look for alternatives: files, webhooks, UI automation or intermediate middleware. In most cases we find a reliable way to connect the data.
Who owns the code?
Your company. The code and automations live on your infrastructure and in your name, with no lock-in and no per-seat licenses.
Ready to automate what you shouldn’t be doing by hand?
Thirty minutes, no strings attached. We review your operation and show you — with data — where the real savings are.
